Purpose of processing personal data

The membership register serves as a record of the society’s members. The mailing list is used to communicate information on the society and its activities and other relevant information, as well as to collect of membership fees. Additionally, information about the number of members is required for the calculation and payment of fees to the society’s umbrella organisations, TSV (Tieteellisten seurain valtuuskunta), EASR (European Association for the Study of Religions), and IAHR (International Association for the History of Religions). The legal basis for processing personal data is consent that can be withdrawn at any time, as defined in article 6 (1a) of the European Union’s General Data Protection Regulation (GDPR).

Personal data is not used for automated decision-making or profiling.

Personal data included in the register

The register contains personal data of individuals who have personally applied for and been granted membership, as well as those appointed as honorary members. The register contains the member’s name, status in the society (student, full or honorary member), email address, and information on the payment of membership fees. The register is controlled by the secretary of the society, and the data in it can be accessed by the secretary, the president, and the vice president.

Personal data is gathered from members themselves.

Personal data is not disclosed to third parties.

Protection of personal data

Any data in print format, as well as the external hard drive containing the membership register, are kept in a locked cabinet that cannot be accessed by third parties. All computers are likewise kept in locked office spaces. Access to the data is limited; while the president and vice president of the society have the right to access the data if needed, only the secretary uses the data in their work. Personal data is handled with great care at all times.

Duration of the processing of personal data

Personal data will be kept and processed for the duration of membership. Membership may be terminated after failing to pay two successive membership fees, in which case the personal data of the former member will be removed from the membership register and the mailing list. A member may also revoke their own membership at any time by contacting the secretary.

Rights of data subjects

Under the General Data Protection Regulation, data subjects have the following rights:

  • Right of access to their own data
  • Right to rectification of their data
  • Right to the erasure of their data and to be forgotten
  • Right to the restriction of processing of their data
  • Right to data portability from one controller to another
  • Right to object to the processing of their data
